About The Job The Role Reporting to the Director of Human Resources, the Human Resources Coordinator provides centralized HR operational and administrative support to all restaurant brands and the Support Centre (Head Office). Working closely with the HR Business Partners and broader Human Resources team, the HR Coordinator supports the effective delivery of day-to-day HR programs, processes, systems and employee services throughout the employment lifecycle. As a first point of contact for Human Resources, the HR Coordinator responds to routine Team Member and leader inquiries, provides guidance on established HR processes, and conducts the initial intake of employee concerns to ensure matters are appropriately documented and directed to the appropriate HR partner. The role also provides administrative support for employee relations and workplace investigations. The role requires strong organization, judgment, discretion and service orientation, with the ability to independently manage established HR processes and responsibilities while recognizing matters requiring escalation. Duties & Responsibilities: Serve as a first point of contact for Team Members and leaders contacting Human Resources, responding to routine HR and process-related questions and directing or escalating matters as appropriate. Conduct the initial intake of employee concerns by gathering and documenting preliminary information and ensuring matters requiring further review are escalated to the appropriate HR Business Partner. Provide administrative support for employee relations matters and workplace investigations, including scheduling, note-taking, documentation, confidential case file maintenance and follow-up tracking. Coordinate non-occupational leaves of absence, including Team Member and leader communication, required documentation, status tracking, HRIS updates and return-to-work administration; escalate complex accommodation matters as appropriate. Provide day-to-day administration and support for the Company's HRIS including employee information, routine system inquiries, data maintenance, troubleshooting and coordination of corrections or escalations. Administer the Company's immigration programs, including documentation, work permit and expiry tracking, Team Member and leader communication, and coordination with internal and external partners. Support employee lifecycle administration, including onboarding, employee changes, transfers, promotions, status changes, leaves, offboarding and other employment-related processes. Prepare employment-related documentation, including employment confirmation letters, reference letters and other standardized employee correspondence. Maintain HR document control practices, employee records and electronic files, ensuring documentation is accurate, current, appropriately filed and handled confidentially. Support performance management administration, including preparation and organization of documentation, maintenance of templates, tracking of active documentation and filing completed records. Maintain HR case and employee relations trackers to support visibility of open matters, status, follow-up actions and case closure, while maintaining appropriate confidentiality. Prepare recurring HR reports, trackers and spreadsheets related to headcount, turnover, vacancies, leaves, work permits, performance documentation and other people metrics as required. Support HR data integrity through regular audits, identification of discrepancies, follow-up on missing documentation and coordination of required corrections. Provide administrative support for HR programs and initiatives. Maintain current HR forms, templates, guides and standard communications and support updates to established HR processes and procedures. Prepare documentation, reports and administrative materials required by HR Business Partners for meetings with Operations and other business partners, and support follow-up tracking where required. Support termination and offboarding administration once direction has been provided, including preparation and coordination of standard documentation, system transactions and maintenance of complete employee records. Identify recurring Team Member or leader questions, process gaps, documentation issues and system concerns and bring them forward to the HR team to support continuous improvement. Provide administrative and coordination support to HR Business Partners and the broader Human Resources team on projects and other people-related initiatives. About You Requirements: Degree or Diploma in Human Resources, Business Administration, or a related field is an asset. Experience in hospitality at any level is considered an asset. Strong interpersonal and service-oriented skills with the ability to respond to Team Member and leader inquiries professionally and in a timely manner. Resourceful self-starter with strong judgment and the ability to recognize when matters require escalation. Strong organizational and time-management skills with the ability to manage multiple competing priorities in a fast-paced environment. High degree of discretion and professionalism when handling confidential and sensitive employee information. Strong attention to detail with a commitment to maintaining accurate employee records, documentation, and HR data. Effective written and verbal communication skills, including the ability to take clear, accurate, and objective notes during employee meetings and workplace investigations. Flexible and adaptable with the ability to work effectively in a dynamic, fast-paced, multi-location environment. Strong relationship-building skills with the ability to work collaboratively with Team Members, leaders, and internal and external partners. Proficiency in Microsoft Office Suite, including Outlook, Excel, Word, and PowerPoint. Experience using Human Resources Information Systems (HRIS), Human Capital Management (HCM) systems, Applicant Tracking Systems (ATS), and other HR technology is considered an asset. General knowledge of HR practices and employment legislation across Canada is considered an asset. Possess five values that define our people: Hospitality.
