Position Overview The Talent & Culture Coordinator provides administrative and operational support across all areas of the Talent & Culture Department. This role serves as a key point of contact for team members and assists with onboarding, record management, recruitment administration, payroll support, benefits administration, employee programs, and compliance documentation. Working closely with the Payroll Specialist and other members of the Talent & Culture team, the Coordinator provides backup support for payroll-related activities, helps ensure accurate employee records, and contributes to a positive team member experience throughout the employee lifecycle. This role is ideal for an organized and detail-oriented individual who enjoys supporting a variety of HR functions in a fast-paced environment. Core Responsibilities Talent & Culture Administration Maintain employee files and Talent & Culture records, ensuring accuracy, confidentiality, and compliance with company policies and applicable legislation. Prepare, collect, and process employee documentation related to onboarding, employment changes, leaves, and offboarding. Respond to routine team member inquiries regarding policies, forms, employment documents, benefits, and HR processes. Assist with scheduling meetings, training sessions, orientations, and other Talent & Culture activities. Support the administration of employee recognition, engagement, and wellness initiatives. Maintain HR databases, trackers, files, and reporting tools. Payroll & Benefits Support Provide administrative support to the Payroll Specialist to support timely and accurate payroll processing. Assist with payroll data entry, tracking employee changes, attendance documentation, and record verification. Provide backup payroll support during vacations, absences, and peak operational periods. Assist with benefits administration, including enrollments, eligibility updates, and responding to routine team member inquiries. Support payroll, benefits, and employment records audits as required. Recruitment & Onboarding Support Support recruitment activities including posting vacancies, screening applications, scheduling interviews, and coordinating candidate communications. Assist with job fairs, recruitment events, and seasonal hiring initiatives. Coordinate onboarding documentation and ensure new hire files are complete and current. Track recruitment and onboarding progress and maintain accurate recruitment records. Assist with reference checks and recruitment administration in accordance with established procedures. Compliance & Employee Support Support Talent & Culture compliance initiatives by maintaining documentation and records related to employment standards, training requirements, and workplace policies. Assist with Occupational Health & Safety administrative requirements, recordkeeping, and training coordination. Serve as a resource for routine employee questions, directing more complex matters to the appropriate Talent & Culture team member. Provide administrative and cross-functional support during seasonal peaks and department projects. Team Collaboration Work collaboratively with Talent & Culture team members to ensure smooth department operations and exceptional service to team members. Support HR initiatives, events, projects, and operational priorities as assigned. Provide administrative support to other Cabot properties as required. Competencies: Handle sensitive employee information with professionalism, discretion, and confidentiality and maintain accurate employee records in compliance with employment legislation and organizational standards. Support the administration and delivery of Talent & Culture employee recognition and engagement programs. Support internal and external audits related to payroll, benefits, employment standards, and Talent & Culture documentation. Support payroll and benefits administration, including tracking enrollments, eligibility changes, and responding to inquiries from our team members and providing backup coverage for other Talent & Culture Team Members. Support recruitment activities including job postings, application screening, interview coordination, and maintenance of recruitment trackers. Provide supplemental/backup presence Cabot at job fairs, career events, and recruitment activities, supporting candidate engagement and timely follow‑up. Assist with interviews, reference checks, and recruitment documentation in accordance with established processes. Track recruitment progress, onboarding milestones, and program participation, maintaining accurate and up‑to‑date records. Qualifications: CHRP designation or HR Diploma preferred Payroll experience an asset. Financial or accounting acumen 3-5 years directly related experience Proficient Microsoft Office, ADP, WFN, etc. Excellent interpersonal, communication and organizational skills Strong interpersonal and problem-solving abilities Highly responsible & reliable Requirements of the role you should be aware of: Based on the nature of our business and the service we provide to our guests, to work with us, you must consent to a criminal background check as a condition of employment and an additional criminal background check every two years.
